New Release SCRIBE 2016.5.0 is Live

SCRIBE Release Notes 2016.5.0

There are many updates to this release, however a major piece of this which has been months in development is updates and improvements to the import functionality within SCRIBE.

Report (modifications)

  • Fixed defect with “Activity Report” on Service – Participation Tab. The Report now displays the Activity Category custom name.
  • Updated Report -> Exports -> Student Enrollment Export. Added the following columns to facilitate importing data using an export.  StudentReleaseFormStatusId, PrimaryLanguageSpokenAtHomeId, LanguageSpokenAtHomeOther, EnglishLanguageProficiencyId.
  • Updated Report -> Export (with Sensitive Information) -> Activity Summary Export. There was a defect that would show students that were enrolled in multiple schools as participants for the not primary school.
  • Updated Report -> Export (with Sensitive Information) -> Activity Summary Export. Users now have the ability to report on services with 0 participation that have service summary setup.   This can be used as a validation / quality control report to improve the quality of your data.
  • Updated Report -> SCRIBE Configuration -> General SCRIBE lookups. The report now includes the Lookup values for “Service Summary”
  • Updated Report -> Export (with Sensitive Information) -> Marking Period Details Export. Report now includes Term Unweighted GPA, Cumulative Unweighted GPA, Term Weighted GPA, Cumulative Weighted GPA.

Marking Period / Enrollment Information

  • Added and clarified Term/Cumulative Weighted/Unweighted GPA calculations. Modified the Marking Period Details reports to include 4 columns for
    • Term Unweighted GPA
    • Cumulative Unweighted GPA
    • Term Weighted GPA
    • Cumulative Weighted GPA

Import Module – Search Function

  • Added Filter by “Uploaded By” to the Search Condition. Updated the List of users to all users who have uploaded a file.

General Fix

  • All Student, Parent, and Teacher IDs are now case insensitive. When an ID is stored if alpha values are used they are converted to UPPERCASE so as not to create a duplicate “A” vs “a”

Course Screens

  • Courses have been revised in SCRIBE so that Courses CAN (and should) be unique at the school level. For grants/programs that have shared courses across schools, that functionality still exists and can be used, but most programs have been interested in having unique course numbers at the school level
  • When users access Tools->Courses->View Courses, you will notice there is an additional column at the end of the table; School(s). This column displays ALL of the schools currently associated with the course number.

Imports

  • Student Enrollment Import
    • Validation rules have been updated to prevent students from being added to a school year that has not been setup/configured
    • Validation rules have been updated to prevent students from being added to a grade level not supported at the school
    • Last Modified By Record – Is recorded as the user who performed the import – rather than “SCRIBEAdmin”.
    • Student ID is no longer Case Sensitive. “A” = “a”.  All alpha characters are converted and stored as UPPER case.
    • Improvements to the Error message displays.
      • Responses have more details including the student ID and School Year
      • School Numbers that are shown are the SchoolID listed in SCRIBE
      • Explanations are provided why a student cannot be imported (i.e. school year is not setup)
    • Student Update Import
      • Validation rules have been updated to prevent students from being updated for a school year that is not equal to the year selected
      • Last Modified By Record – Is recorded as the user who performed the import – rather than “SCRIBEAdmin”.
      • Student ID is no longer Case Sensitive. “A” = “a”.  All alpha characters are converted and stored as UPPER case.
      • Improvements to the Error message displays.
        • Responses have more details including the student ID and School Year
        • School Numbers that are shown are the SchoolID listed in SCRIBE
        • Explanations are provided why a student cannot be updated (i.e. grade level is not valid for school #)
      • Course List Import
        • Course Numbers are no longer Case Sensitive. While “A” = “a” in the search condition, SCRIBE does not need to store course numbers as UPPER case.
        • Courses are unique to a school (unless previously set up as a shared course across schools). See Course Screens section above
        • When the same course is listed multiple times in an import file, the last record in the import file contains that data that is saved. For example, if the course name is “Pre-Algebra” in the first record but “Pre-Alg” in the last record.  The value stored in SCRIBE is “Pre-Alg”
        • Improvements to the Error message displays.
      • Grades Import
        • Course Numbers are no longer Case Sensitive. While “A” = “a” in the search condition, SCRIBE does not need to store course numbers as UPPER case.
        • Improvements to the Error message displays.
      • Service List Import
        • Added “ServiceSummary” field to the import. This allows users to configure a service list to include a Service Summary.  The list can be found in the SCRIBE Configuration -> General SCRIBE Lookups report.
        • Last Modified By Record – Is recorded as the user who performed the import – rather than “SCRIBEAdmin”.
      • Service Participation Import
        • Service Year has been updated to validate that the date of the service is within the school year boundary conditions. e. a date must be in either 2015 or 2016 for a school year of 2015-2016.  This validation prevents data from being imported to 2012 for a 2015-2016 school year.
        • If A different service exists for a different school year (i.e. using the same ExternalID) SCRIBE will return an error in the Pre-Processing Report. The error will say “Service not valid for School Year 20xx”
        • Improvements to the Error message displays.
        • Parent Services Imports
          • Users can now import Parent participation by using the student ID and setting Person Type = 2. The import will find the first parent/guardian for the student ID provided.  This import allows users to create files where the Student Row is identical to the parent row, with the exception that the PersonType is changed to 2.  So if students and parents both attend the event, data can be imported quickly and easily using this format.
        • Teachers Import
          • Last Modified By Record – Is recorded as the user who performed the import – rather than “SCRIBEAdmin”.
          • Teacher ID is no longer Case Sensitive. “A” = “a”.  All alpha characters are converted and stored as UPPER case.
          • Improvements to the Error message displays.
        • Marking Period Details Import (Attendance and Disciplinary Actions / GPA etc…)
          • Renamed MarkingPeriodTotalGPA to Term Unweighted GPA
          • Renamed MarkingPeriodAcademicGPA To Cumulative Unweighted GPA
          • Added Term Weighted GPA
          • Added Cumulative Weighted GPA
