The major features in this release include cleanup for imports,  updates to Standardized Tests and Courses, and a new module: Expense Report Tracking!

Expense Report Module

  • Released a completely new module in SCRIBE.  Expense Report Tracking allows grants to submit, review, and approve expense reports submitted by districts.

Course Screens

  • Updated to improve the display of marking period data

Standardized Test Screens

  • Corrected a few bugs that popped up while editing, displaying, and canceling Standardized Test data for a student from within the system

Imports

  • Corrected a defect within Course Result Group
    • Users could import a course without a required scoring method (Decimal or Lookup).
    • This has been fixed to only allow accurate values.
  • Corrected a defect with the Service List Import that ensures the End Date cannot be before the Start Date
  • Added permission to users to delete “File Not Valid” imports
  • Microsoft Office 2003 (.xls) files are no longer supported in SCRIBE
  • Updated Standardized Test imports to accommodate duplicate data in an import that already resides in SCRIBE.

New Features for SCRIBE 2017.1.0

 

GEAR UP Annual Performance Report (APR)

New reports have been generated to help GEAR UP grants complete the APR.  These reports provide grants with the data and format need to drop values directly into the APR portal.  Each report aligns to a specific section of the APR.

  • Five new reports have been added to assist clients with the new APR template:
    • Section III-Grant Administration and Budget Information-FAFSA Data
    • Section IV-GEAR UP Demographic Data
    • Section V-Data Regarding GEAR UP Activities OR Data Regarding GEAR UP Activities (Version 2 Group by ServiceType Name)
    • Section VI-GEAR UP Student Outcomes OR GEAR UP Student Outcomes (Split Courses)
    • Section VI-Student Progress by Standardized Test
  • Three service type have been remapped per the new APR format.
    • Tutoring is now a stand-alone APR Category. It has been pulled out of “Supportive Services”.
    • Educator participation has been mapped to Professional Development as Curriculum Development is no longer reported separately on the APR.
    • Student participation in Family/Cultural Events has been mapped to Workshops because Family/Cultural Events is no longer an APR category.
  • Users will see four exit codes in SCRIBE that should be used when a student exits the program and at the end of each school year: withdraw, dropout, retained, and promoted. The exit codes are now flagged with an exit code type.

Live Chat

  • SCRIBE users in need of additional support can now use the Live Chat feature in SCRIBE. Users will see this feature in the bottom right hand side of all SCRIBE screens.  Click here to be connected to SCRIBE Support in real-time.
  • Note: When an agent is unavailable, the Live Chat window will not appear. Create a SCRIBE Support ticket.

New Release SCRIBE 2016.6.0 is Live

There are many updates to this release specifically with reports.  Key features that were added are reports that allow you to filter a report for a student group, sign in sheets or check in sheets, and survey reports that show the date a survey was took.

Reports (new)

  • Added Reports -> Students -> Student Checklist. There has been a number of requests for users to generate sign in sheets or checklists.   This report creates a version where the students “check the box” next to their name.
  • Added Reports -> Students -> Student Sign-In Sheet. There has been a number of requests for users to generate sign in sheets or checklists.   If the check box report is not for you, try to he sign-in sheet with a place for the student to sign in
  • Reports using Student Groups have been requested for a series of reports. Below is a list of reports that have been added that work the same as the original report except that they allow the user to select a specific student group to report upon.
    • Added Reports -> Services – > Students By Service Participation Trends By Student Group
    • Added Reports -> Services – > Students By Service Participation Trends By Hours By Student Group
    • Added Reports -> Services – > Student Participation By Service Type By Student Group

Report (modifications)

  • Updated Reports -> Export (with Sensitive Information)-> Student Enrollment Export. Users can now filter by a date range for “Added Records” or “Updated Records”.  This allows users to see what students were updated or added for a specified “Date Range”.
  • Updated Reports -> Export (with Sensitive Information) -> Student Enrollment Export. Corrected the name of the field Enrolledin4YearInstitution and fields Guardian1_… and fields Guardian2_…
  • Updated Reports -> Data Entry Checklist Report -> Service Data – No Backup Docs. Corrected a defect that did not display services that should meet the no backup docs criteria.
  • Updated Reports – > Goals and Objectives Reports -> Student Participation By Grade Level Overview (Service Type). This report now allows the user to select multiple “Service Types”
  • Updated Reports – > Goals and Objectives Reports -> Student Participation By Grade Level Details (Service Type). This report now allows the user to select multiple “Service Types”
  • Updated Reports -> Export (with Sensitive Information) -> Standardized Test Export. Updated report to pull ALL historical data on a student (not just the years for which a student has enrollment data).

Service Summary

  • Changed Service Summary wording from Prizes to Incentives (to reduce confusion to users since regulations say that prizes should not be provided to students)

Student Participation Tab

  • Corrected the Service Type Name column field value to use the Custom name if in use by the grant. Not all grants use custom service type names so for most users there will be nothing to note.

Survey Reports

  • Updated Reports -> Export (with Sensitive Information) -> Student Survey Participation Status Export. The report now includes a date column of when the person completed the survey.  Users have been asking to find which students completed a survey the first week that a survey was open, etc…
  • Updated Reports -> Export (with Sensitive Information) -> Parent Survey Participation Status Export. The report now includes a date column of when the person completed the survey.
  • Updated Reports -> Export (with Sensitive Information) -> Staff Survey Participation Status Export. The report now includes a date column of when the person completed the survey.

Course Screens

  • Correct a defect with Add Course Permissions. Add Course is now referencing “Add Course” permission.  The defect was more restrictive to the user and users were unable to edit courses they should have had access to modify.

New Release SCRIBE 2016.5.0 is Live

There are many updates to this release, however a major piece of this which has been months in development is updates and improvements to the import functionality within SCRIBE.

Report (modifications)

  • Fixed defect with “Activity Report” on Service – Participation Tab. The Report now displays the Activity Category custom name.
  • Updated Report -> Exports -> Student Enrollment Export. Added the following columns to facilitate importing data using an export.  StudentReleaseFormStatusId, PrimaryLanguageSpokenAtHomeId, LanguageSpokenAtHomeOther, EnglishLanguageProficiencyId.
  • Updated Report -> Export (with Sensitive Information) -> Activity Summary Export. There was a defect that would show students that were enrolled in multiple schools as participants for the not primary school.
  • Updated Report -> Export (with Sensitive Information) -> Activity Summary Export. Users now have the ability to report on services with 0 participation that have service summary setup.   This can be used as a validation / quality control report to improve the quality of your data.
  • Updated Report -> SCRIBE Configuration -> General SCRIBE lookups. The report now includes the Lookup values for “Service Summary”
  • Updated Report -> Export (with Sensitive Information) -> Marking Period Details Export. Report now includes Term Unweighted GPA, Cumulative Unweighted GPA, Term Weighted GPA, Cumulative Weighted GPA.

Marking Period / Enrollment Information

  • Added and clarified Term/Cumulative Weighted/Unweighted GPA calculations. Modified the Marking Period Details reports to include 4 columns for
    • Term Unweighted GPA
    • Cumulative Unweighted GPA
    • Term Weighted GPA
    • Cumulative Weighted GPA

Import Module – Search Function

  • Added Filter by “Uploaded By” to the Search Condition. Updated the List of users to all users who have uploaded a file.

General Fix

  • All Student, Parent, and Teacher IDs are now case insensitive. When an ID is stored if alpha values are used they are converted to UPPERCASE so as not to create a duplicate “A” vs “a”

Course Screens

  • Courses have been revised in SCRIBE so that Courses CAN (and should) be unique at the school level. For grants/programs that have shared courses across schools, that functionality still exists and can be used, but most programs have been interested in having unique course numbers at the school level
  • When users access Tools->Courses->View Courses, you will notice there is an additional column at the end of the table; School(s). This column displays ALL of the schools currently associated with the course number.

Imports

  • Student Enrollment Import
    • Validation rules have been updated to prevent students from being added to a school year that has not been setup/configured
    • Validation rules have been updated to prevent students from being added to a grade level not supported at the school
    • Last Modified By Record – Is recorded as the user who performed the import – rather than “SCRIBEAdmin”.
    • Student ID is no longer Case Sensitive. “A” = “a”.  All alpha characters are converted and stored as UPPER case.
    • Improvements to the Error message displays.
      • Responses have more details including the student ID and School Year
      • School Numbers that are shown are the SchoolID listed in SCRIBE
      • Explanations are provided why a student cannot be imported (i.e. school year is not setup)
    • Student Update Import
      • Validation rules have been updated to prevent students from being updated for a school year that is not equal to the year selected
      • Last Modified By Record – Is recorded as the user who performed the import – rather than “SCRIBEAdmin”.
      • Student ID is no longer Case Sensitive. “A” = “a”.  All alpha characters are converted and stored as UPPER case.
      • Improvements to the Error message displays.
        • Responses have more details including the student ID and School Year

        • When the same course is listed multiple times in an import file, the last record in the import file contains that data that is saved. For example, if the course name is “Pre-Algebra” in the first record but “Pre-Alg” in the last record.  The value stored in SCRIBE is “Pre-Alg”
        • Improvements to the Error message displays.
      • Grades Import
        • Course Numbers are no longer Case Sensitive. While “A” = “a” in the search condition, SCRIBE does not need to store course numbers as UPPER case.

      • Service List Import
        • Added “ServiceSummary” field to the import. This allows users to configure a service list to include a Service Summary.  The list can be found in the SCRIBE Configuration -> General SCRIBE Lookups report.
        • Last Modified By Record – Is recorded as the user who performed the import – rather than “SCRIBEAdmin”.
      • Service Participation Import
        • Service Year has been updated to validate that the date of the service is within the school year boundary conditions. e. a date must be in either 2015 or 2016 for a school year of 2015-2016.  This validation prevents data from being imported to 2012 for a 2015-2016 school year.
        • If A different service exists for a different school year (i.e. using the same ExternalID) SCRIBE will return an error in the Pre-Processing Report. The error will say “Service not valid for School Year 20xx”
        • Improvements to the Error message displays.
        • Parent Services Imports
          • Users can now import Parent participation by using the student ID and setting Person Type = 2. The import will find the first parent/guardian for the student ID provided.  This import allows users to create files where the Student Row is identical to the parent row, with the exception that the PersonType is changed to 2.  So if students and parents both attend the event, data can be imported quickly and easily using this format.
        • Teachers Import
          • Last Modified By Record – Is recorded as the user who performed the import – rather than “SCRIBEAdmin”.
          • Teacher ID is no longer Case Sensitive. “A” = “a”.  All alpha characters are converted and stored as UPPER case.
          • Improvements to the Error message displays.
        • Marking Period Details Import (Attendance and Disciplinary Actions / GPA etc…)

Making changes to student enrollment after “auto” promotion to the next grade level

Often times (and from our experience most times), you do not have access to nice clean data files containing accurate enrollment data for your students for the upcoming school year.  Maybe there is no central database for your districts or schools with this information.  Maybe there is but you do not have access to it or it is not available when you actually need to start using the data.  Maybe there is a central database system but it does not offer an easy way to filter out the students you are tracking or the data is incomplete or inaccurate.  Whatever the reason, SCRIBE provides a work around for you.  We call it auto promotion of your students; although, it is not really auto.

SCRIBE’s “auto” promotion is basically a process that we assist you with of taking the previous school year’s student enrollment data and copying it to the new school year.  At a high-level, this process consists of exporting the previous school year’s enrollment data, and then modifying this enrollment export so it can be used as an import for the new school year.  This processed is typically tailored for each SCRIBE client.

The focus of this article is not on the process of the “auto” promotion that will be covered in later blog posts or training sessions.  The focus of this article is on the type of tasks that may need to be done following the “auto” promotion.  The basic idea behind the “auto” promotion is that we take the previous school year’s enrollment data and map those students to their new grade level and school.

When students are “auto” promoted to the new school year and grade in SCRIBE, there are several things that may happen at the beginning of the school year.  The flow chart below will be your guide for what to do with your student’s data in SCRIBE if you need to Add, Edit, or Delete students for the year.

Because of the new APR reporting requirements, you will need to maintain better information on students who have left your schools during the year.  This flow chart helps explain what you will need to do throughout the year.

This work flow is used for looking at a student at a school within SCRIBE (not across schools)

A.    Delete Enrollment from School

If a student has been entered into SCRIBE erroneously, then you will want to delete the student enrollment for that school year.  To do that follow these steps:

  1. Select the student whose enrollment you would like to delete
  2. Select the “Enrollment” tab for the student
  3. Click “Delete Student Enrollment” at the bottom of the page. This button will only be available if the student does not have services entered for the current school year.

B.    Exit Student from School

If the student did attend the school for even a few days, then you will need to “Exit” the student from that school.  To do that follow these steps:

  1. Select the student whose enrollment you would like to exit
  2. Select the “Enrollment” tab for the studentstudentenrollmenttab.png
  3. Click the “Edit” button in the Status section.
    • Enter Exit Code
    • Enter Exit Date
    • Enter Exit Note

 C.    Add Student to a school

If the student is not in SCRIBE, then you will need to add the student.  To do that follow these steps:

  1. Select the School that you would like to add the student to
  2. Select the “Students” tab
  3. Click the “Add” button above the list of students to add a studentstudentlistaddstudentbutton.png

  5. Complete the following in the Demographics section:
    • Name
    • Gender
    • Ethnicity

  6. Complete the following in the Enrollment section further down the screen:
    • Grade Level
    • Entry Code
    • Entry Date
    • Entry Note

  7. Finally, go to the “Enrollment” tab and complete the information in the Student Enrollment Demographics

    • ESL (English as a Second Language)
    • English Language Proficiency

D.    Edit Grade Level of Student

If the student is in SCRIBE and in the correct school but the grade level is incorrect – change the students grade level.  To do that follow these steps:

  1. Select the student whose grade level you would like to change
  2. Select the “Enrollment” tab for the student
  3. Click the “Edit” button in the Report Card Details section
    • Edit the Grade Level
    • If the student ended being retained in grade, set the “Retained in Grade” value to Yes.

    • Edit the Entry Note to reflect the “grade level change”, in case anyone needs to review this information later on.

  • Update Report -> Exports -> Student Transcript. Added School Number to the report.

  • Added Internal Report for checking for Duplicate Student ID (In preparation for Import modification in 2016.5.0 to be released in August that makes all ID’s uppercase)

Reports (general)

  • Fixed reports all service type reports and service type category reports to show custom names for Service Type or Service Type Category when a Custom name was used.
  • Fixed defect with “Activity Report” button on Service – Participation Tab – opens blank page instead of report

Services Summary

  • Added two new fields to the Activity Summary Sheet:
    • How many non-gear up students attended the event?
    • How much time did non-gear up students spend at the event? (Number of non-gear up students multiplied by length of event.)

Match Tracking

  • Fixed a Defect that would cause SCRIBE to crash if the user Deleted a “Partner” that had staff associated with it.
  • Updated Report -> Match Tracking -> Non-Personnel Match Summary Report. Corrected Summary total when the same dollar value for a partner was entered multiple times (with different dates).
  • Updated Report -> Match Tracking -> Personnel Match Summary Report. Corrected Summary total when the same dollar value for a partner was entered multiple times (with different dates).

Import Module

  • Added Filter by “Uploaded By” to the Search Condition.

Report (modifications)

  • Updated Report -> Services – >Service List Export. Added “Start Month” and “DistrictNameList” fields to the report.  The “Start Month” returns the Month (i.e. September) of the Start Date.  The “DistrictNameList” returns a list of the districts selected for this service.  These fields can be valuable when generating Pivot tables or analytics across months and districts.
  • Updated Report->APR Reports->Participation Summary. There was a defect where this report would crash for the first year of a grants program or if running the report for ONLY the first year.
  • Updated Report-> Goals and Objectives Reports -> Student College Access Readiness. Added “Grade Level” column.  Updated headers to include Days, Hours, or Number where applicable.  Added Entry Code, Entry Date, Exit Code, Exit Date as well.
  • Update Report -> Services -> Students By Service Participation Trends. Added a column at the end of the report that Sums the values in the columns (i.e. days 1 – 31).   Changed the chart on the last page from a Line Chart to a bar chart.  Added Calendar Day and Day of Week to the chart.  Displayed header information on the chart.  Allow users to select multiple service categories/types to display on the same chart (i.e. Math Tutoring and English Tutoring together).  Values in the columns and rows are stored as numbers so that data can easily be summed.

Reports (new)

  • Added Report->Services->Student Participation by Service Type Filtered by Student Group. In this report a student group can be selected and a list of ONLY those students for that student group will appear with the service participation information for the service categories or types selected.  One note for this report – it only shows the students at their Primary School.

Reports (general)

  • Fixed defect that would cause reports to crash when too many schools or filter parameters were selected. This would occur in rare cases where 60+ schools were available to a grant.
  • Fixed defect when multiple exit or entry codes were selected in a filter. This was only present for grants that have and use more than 8 Exit or Entry Codes.  At present time only 1 grant was experiencing this issue.
  • Fixed report all service type reports to show custom names for Service Types when a Custom Service Type name was used. This update required making modifications to ~20 reports that displayed or exported custom service type names as well as modifications to the selection screen to ensure that the custom service type name was displayed and selectable from the list.

Import Updates

  • Fixed a defect with the Import Completion Widget on the home page directing the user to an error screen. The link now correctly takes the user to the specific import referred to on the home page.

Helpdesk/Freshdesk

  • Added SCRIBE Support Link at the top of all pages as an easy one-click way to submit a request. Allows user to take screen shot and embed in the helpdesk request.  Integrated with Help Search on the right side of the new Support screen.
  • Changed the Support Email request to SCRIBESupport@xcalibur.com

School – School Record – Grade Level

  • Added PreK to the list of selectable Grade Levels. PreK follows the following sort order in terms of Grade Level hierarchy (PreK, K, 1, 2, etc….)

SCRIBE 2016.2.0 has been released and includes the following updates

Report (modifications)
– Updated Report->21st CCLC->21st Century Community Learning Center Attendance Summary. Added 2 new columns, column 1 (O visits) and columns 5 (>=90 visits). Modified report query with slight improvements.
– Updated Report->21st CCLC->21st Century Community Learning Center Attendance Details. Modified report query with slight improvements.
– Updated Report->Export->Student Participation Export. Added Columns for IsSTEM and IsELL to the Student Participation Export. This allows users to see all Services that were designated as STEM or ELL by student’s participation.

– Added Report->Courses->Course List Export. This report provides the user an export of all courses with specific Course List ID information that can be used to reimport data through the SCRIBE Import process.
Survey Updates

– Finalized Survey data information. From this point forward there are 3 types of surveys that are configurable for your grant in SCRIBE; Open, Tracked, and Identified. For further details on which survey is right contact SCRIBE helpdesk.

Student Enrollment Page

– Fixed a defect where SCRIBE would crash under unique circumstances based on the student’s information. This occurred for 2 students and has been corrected.
– Fixed defect when a user edited the Enrollment Entry Date or Exit Date and tried to save (without changing notes) that would not save. SCRIBE now saves all changes to Entry and Exit dates.

Services List Screen

– Improved the queries so that large data sets will appear more quickly.
School – School Year Details – Marking Period Screen
– Added capability for users to change the school year marking period details (semester, quarter, etc…) if no data has been uploaded yet for the school for that school year.

Release 2015.5.1 is now live

Report (modifications)

  • Updated Report-> Exports (with Sensitive Information)->Address Export. Added School Student ID to the report for users. Now the report displays the State (Student ID) and the School Student ID.
  • Updated Report->Students->Student Group Export. There was a defect that returned all students, not just the current list. This has been corrected.
  • Updated Report->Services->Parent Participation Summary By Site – APR Service Category. Final column now correctly displays “Parent” in the title.
  • Updated Report->Services->Parent Participation Summary by Site – Service Type Category. Final column now correctly displays “Parent” in the title.
  • Updated Report->Export (with Sensitive Information)->Student To Program Export. A defect would show blank records for externally tracked programs when various Programs were selected. This has been fixed.
  • Updated Report->Export (with Sensitive Information)->PEPS Activity Summary Report. Three Date columns appear in Date format now.
  • Updated Report->Export (Evaluator Version / No Sensitive Information)->PEPS Activity Summary Report. 3 Date columns appear in Date format now.
  • Updated Report->Service->Participation Summary by Service Type. If custom names are used they are displayed on the report instead of the default.
  • Updated Report-> Multiple. Many reports display Student ID while the grant has a custom State ID. The column name now displays the State ID name.

Report Selection Screens

  • A defect with many of the Survey Report selection screens where the user could not select the “Select All” check box at the top of the school list dialogue box has been fixed.

 

Reports (new)

  • Added Report->Export (with Sensitive Information)->Student Enrollment Export with SSN. This report is only available upon request.
  • Added Report->Survey->Student Identified Survey Results. For surveys that are NOT anonymous, this report displays all of the students who have completed the survey with their, student ID, student information, and responses to the survey.
  • Added Student Report: Student Identified Survey Results. For surveys that are NOT anonymous, this report displays a student’s name, grade, ID, and responses to the survey.

 

Survey Updates

  • Removed generic verbiage at the beginning of the surveys – stating that surveys are anonymous.
    • If a survey contains any student ID it is not anonymous.
    • Improved the student validation form. Previously the form was case sensitive with the data that was in SCRIBE. It no longer is.
    • Defects from switching between English and Spanish version of the verification form have been updated.
  • Modified Survey Reports filters to show historical years’ surveys when the year dropdown box was changed.

Student Enrollment Page

  • Fixed a defect that would not display changes with refreshing the screen with changes in the marking periods (i.e. from Quarters to Trimester)
